DEFINITION OF SHAREWARE
Shareware distribution gives users a chance to try software
before buying it. If you try a Shareware program and continue
using it, you are expected to register.
Copyright laws apply to both Shareware and commercial software,
and the copyright holder retains all rights, with a few specific

USER'S MANUAL
INTRODUCTION
============
MARKETEER is intended to be used as a Direct Marketing tool by
allowing multiple databases to be employed for mailshots with the
built-in word processor and then followed up with a phone call
(Telemarket Option) or another letter. A global follow up period
can be set eg; 2/3/4 weeks and it can also can be set for each
individual prospect.
System Requirements:
To run this software you will need an IBM PC, XT, AT, PS/2 or
compatible with a minimum of 640K of RAM, a hard disk and
MS-DOS 2.0 or higher.
Back Up Your Files, PLEASE:
Your data files SHOULD BE BACKED UP any time you've made
significant changes. A good rule of thumb is to back up your data
any time you've made more entries/changes than you'd want to type
in again.
This software is completely menu driven and easy to operate. Since
the computer does all the hard work for you, this manual is short.
Most of the manual is also available as context-sensitive help
screens. Just press F1 anytime you are unsure what to do.
We'll describe how to enter information; what to do to edit
existing entries; and how to find the entry(s) you need.
Before printing a mailshot check that your printer has been selected
in the Configuration section. If not shown on the picklist you can
add your printer's details in the Supporting Files section.
If using a modem you are advised to try the settings as supplied
because they have been found to work with the vast majority of modems.
QUICK START
===========
This section describes how to use the basic functions of MARKETEER
so you can quickly get started. The software is completely menu
driven with prompts on every screen so it is easy to use.
To start the program type MARKET and press ENTER.
Choose Option 1 from the main menu and pick one of the demo

databases. INS will add a record, ENTER will pick one for amend-
ing and DEL will delete. (INS refers to the insert key under the
numeric keypad on your keyboard)
Pressing F1 at each stage will explain what is happening.
A feature of the data entry screen is that speed is improved by the
use of picklists for four of the fields which pop-up when required.
The logical sequence in using the program is 1,2,3,4 as set out in
the main menu:
option 1 : Enter prospect details
option 2 : Mark a selection of prospects
option 3 : Do a mailshot to these prospects
option 4 : Telemarket follow up
Throughout MARKETEER reference is made to "prospects" which reflects
the sales prospecting origin's of the program. However, MARKETEER
could also be used to manage other types of contacts such as club
members and customer support.
There is a screen saver feature which ensures that if the program is
left for more than 10 minutes without a key being touched then your
monitor's screen will be blanked out. The screen image will be
restored as soon as any key is pressed.
UPDATING RECORDS
================
Records are stored in databases which you create with your own names
and descriptions. Choose "Supporting Files" on the main menu for
this. The number of databases and records is limited only by the
size of your hard disk.
Keys used on the update form:
CTRL_ENTER save any changes made and return
CTRL_ESC leave the update form without saving changes
ENTER move on to the net field
ESC back up a field (exits if on first field)
ALT_P view phone messages
ALT_L view correspondence
ALT_F field arithmetic
ALT_N view general notes about this prospect
ALT_S suspend a prospect. Next step before deletion. Suspended
records can still be viewed but they will not appear in
any selection.

Records are classified as either personal (Mr,Mrs etc) or corporate
This is so that the correct form of salutation is used when a mail
shot is sent out. If 'C' for corporate is selected then you can choose
a business title from a pick list.
Contact's salutation (second Dear on the form): If this is left blank
the salutation on letters will be as line 5 on the form. If you do put
anything here it will be used instead. E.G.; if you are on first
name terms you could enter that here.
Last Letter: This is entered by the program whenever a mailshot is
sent out. F10 brings up a mini-calendar at every date field.
Last Phone: The date of the last phone message is entered by the
program whenever a message is created.
If the NOTES field says 'YES' then ALT_N will bring them up.
Record number is a unique ID supplied by the program for each record.
Category code is selected from a pick-list. If a category you enter
cannot be found you will be given the choice of creating it.
All pick-lists are maintainable. Choose "Supporting Files" from the
main menu.
Whenever a record is added or changed a check is made to see if there
are any possible duplicates. You will be given the option to delete
the duplicate(s) or ignore them.

DOING A MAIL SHOT
=================
A mail shot is three-stage process:
1) Create the document with the word processor. (option 1 in the
mailshot menu). The document could be a letter, label or
whatever. This document is then saved under the name you
have chosen.
2) Select the records. See "Selecting Records" in the main help
menu for more info.
3) Choose the mail shot option on the menu. You will then be
prompted for the document to use. Before printing the letters
you will be able to view them on the screen first if you wish.
A log will automatically be made of which records have been
used. Choose option 4 to view, print etc logs.
Logs can also be used to "re-run" a mailshot to the same selection
of prospects.
A database of documents is also maintained. Option 1 on the
mailshot menu will bring a pick-list of the available letters,
labels or whatever you have created in the word processor. Copies
can be made by pressing F10 to display the Extra Features menu.
Deleting documents is not generally recommended because someone
may have used them in a mailing and so they would form part of
the prospects history (see the use of ALT_L in updating).
Fields can be placed anywhere in a document by pressing F10.
The following fields should be on aline of their own and in the
leftmost column of the page:
{Padding} best place to put this is in between the address and Dear.
When a line is missing (eg a prospect has no Unit/building
line in its address) a blank line will be inserted to "pad
out" the page. Especially useful when printing labels.
{Pause} Use if you have a single sheet printer and need a pause
between pages. Always the last line - if used.
{Form Feed} Last line in letter, unless {Pause} is used.

When a mailshot is "previewed" by sending it to the screen rather than
the printer certain strange characters will be seen:
° start of a new document
a printable line
Ω non-printable line: used for formfeeds, pauses etc
Θ pause
The above characters are used for print control purposes and will not
be printed.
Keys used for block moving, copying etc in the word processor
are available by pressing F1.
Hotkeys available:
ALT_I Import a text file. Useful for bringing in a document created
outside of Marketeer. For example using Wordperfect.
ALT_D Toggle between showingg all documents or just those for a
specified database.
ALT_P Print a one-off document. Picklists are used.
ALT_W Toggles between 65 and 78 column width. This determines
the width for new documents.
Labels are fully configurable as one-up,two-up or three-up. The
options are availble from the labels sub-menu which leads off
the Do A Mail Shot menu.
TELEMARKETING
=============
To get most out of a mailshot it is generally recognised that
there should be a telephone follow up. Option 3 on the main menu
not only allows for this but it also permits look-up of all
letters and phone calls for a particular prospect,as well as the
appointments diary, by means of hotkeys.
You could of course skip the mail shot and go straight to a
telemarketing campaign.

Scripts are available for prompting during a phone call. They can
be created, changed etc in the Do a Mail Shot section.
The details of how a subset of a database is selected follow.

SELECTING RECORDS
=================
Selecting can be done by one of five ways:
1) By CATEGORY and ONE of the following:
CITY
STATE
So for example you could select all the Accountants in New York
and Boston.
2) By NAME. this option is shown as such on the Selection Menu and
allows particular prospects to be selected/de-selected.
3) By pressing F10 in the logs selection of the mail shot menu.
4) By searching the notes for a word or string (case ignored).
5) Searches option on the main menu. Any field or combination of
fields can be used.
Logs are lists of the records used in a mailshot and should you wish to
write to (or follow up with a phone call) the same people you can
do so this way. Logs can also be merged.
Records marked under methods 1) and 2) are "transferred" to the main
database file before being effective.
Please note that if you use method 1) and then method 2) the transfer
process will give priority to the method 2) selections. But any de-
selections made under method 2) could be overridden by method 1)
selections. It is best not to mix selection methods.
There is also a shortcut Select All option.
Before starting a new selection all records should be de-selected to
ensure a "clean slate".
As a final step you will be asked whether you wish to select only
records which are due a follow up - based on today's date as reported
by your computer. If this date is wrong you can change it in the
utilities section.
Method 4) allows you to set up your own selection criteria if you have
put relevant "keywords" in your prospect's notes. As an example let's
say you are a computer dealer and while you are on the phone talking to
prospect's you make notes (using ALT_N) of their equipment. So you enter
keywords such as "network","laser printer" etc which can be used later
to precisely target a particular mailshot/telemarket campaign.

If the Records Selected line shows ? this indicates that the actual number
of records selected cannot be reliably determined. This could have
resulted from aborting a selection part-way through. Choosing De-select
All will correct the situation.
SUMMARY:
The important thing to remember is that if you select by method 1)
using business categories you MUST also select ONE of the areas (city
or state). Let's say you want to mail 200 busineses a week.
Once you have chosen the categories, mark cities from A to E let's say,
press 9 to Start Selection and then look at the Records Selected
indicator to see how near you are to your target of 200. If you need
a few more select a few more cities and press 9 again.
Just using option 1 and ONE of 2 or 3 or 4 will not in itself "mark"
records. You need to choose option 9 "Start Selecting" to do this.
UTILITIES **** SUPPLIED TO USERS WHEN THEY REGISTER ****
=========
PACK FILES : Deleted records are removed and data
files and indexes are made more
compact and efficient.
BACK UP/RESTORE : First specify the backup drive
capacity on the configure screen.
You will be prompted with the number
of disks required and the date/time
of a backup will be shown beside the
database name.
EXPORT/IMPORT DATA : Names,addresses, contacts etc can be
exported/imported to/from DBASE, DIF and
BASIC (CSV/ASCII) formats.
REBUILD KEYS: In the event of a hardware failure and
damage to a database's files use this.
REBUILD RECORD COUNTS : If key files need rebuilding then this
option should also be used to ensure
that counts of categories, cities etc
are correct.
SPLIT DATABASE(S) : Records which have been "marked" using one
of the five methods mentioned under "Selecting"
can be transferred (along with all their phone
messages, notes etc of course) to another
database. Handy for breaking up a database that
gets a bit big and unwieldy or if you want to
move customers out to their own separate
database.

SEARCHES
========
The search field is 255 characters long and will scroll sideways when
the left hand edge of the screen is reached.
TEXT SEARCHES
If using advanced mode the search string must be enclosed in ' ' and can
only be carried out on fields marked with an S (see search screen).
Examples:
1) You are left a note to call someone back but you are only
given the phone number
'1223456' IN PHONE
search string ---------- ---------------- field

2) A "boolean" search involves the use of AND and OR and can
produce a range of records:
'0344' IN PHONE AND '0734' IN PHONE
This will pull out all records with a Bracknell or Reading area code
3) Fields can also be searched for comparisons:
CITY = 'Schaumburg' (text searches ignore upper/lower case)
Strings are compared to their length. For exaple if the
STATE field had 'ABcDEFg' in it, the expression STATE = 'AB'
would be a match.
DATE SEARCHES:
Dates must be in the format dd/mm/yy
LASTLET > 04/01/92 AND LASTLET < 04/30/92
This will produce all prospects last written to in April 1992
BEGINNER'S MODE:
This allows the build up of a search string by an easier method
of "point and shoot", with the available choices at any point
being pre-selected by the program.

APPOINTMENT SCHEDULER
=====================
The first step is to choose a particular individual's schedule from the
picklist presented. names can be added/removed from this list in the
Supporting Files section.
Next you will be shown a screen with every Sunday in the year marked.
These dates are taken as the first day of the week and by moving the
cursor and pressing ENTER you will be shown that week.
If there are no appointments for the week the "Add an Appointment"
screen will be brought up. Press ESC if this is not needed.
A check will be made to see if an appointment overlaps with an existing
one. Appointments can be linked with a particular prospect - press F10
for a picklist of prospects - or left blank if "general", such as a visit
to the doctor etc. ALT_A in Telemarketing will show a history of the
prospect's appointments.
F6 prints out a range of appointments, handy for carrying around with you.
F10 shows a graph of the free time for that week.
At the end of a day/week it is a good idea to go back and fill in the
appointment notes so that a permanent record is available of what
happened at the meeting.
IMPORTING DATA
==============
Importing data is more involved because of the need to "synchronise"
the field names, types and lengths.
Before starting have a look at the file format information on page 11
which shows the layout of the main database record. You should try
and ensure that the names or labels on the file that you want to
import correspond as far as possible with this layout.
For the initial stages just follow the on screen prompts.
When the program stops you will be at the File Utility window and
should proceed as follows:
1) Press ENTER to accept Market.src
2) Type CONTACTS then ENTER
3) Type name of the new database (6 characters) plus CT then ENTER
eg MYDATACT
4) Same as 3)
5) Line up fields so that they correspond using cursor keys.
6) GO with CTRL_ENTER
7) ESC when finished.

Pressing F1 help at any of the above stages will bring even more
detailed assistance.
BASIC files: the string delimiter is " and the field separator is ,
If you wish to change these then type CCVT at the DOS prompt and
follow the instructions.
IMPORTANT: After importing you should go into the Update module
and look at each record. This will allow you to add the business
category, type('C' or 'P') and will also do duplicate checking.
If you have a problem with importing data the most likely cause is
that you have omitted step 3) on the previous page - adding 'CT' to
your chosen database name. Please note that DBASE memo fields are
not imported.
STANDARD KEYS
=============
An underline is to be read as "and also press". So ALT_L
means press ALT key and also press T.
On pick lists (such as when selecting a database to work on):
INS add a record
ENTER change a record
DEL delete record (confirm will be required)
ESC finish

WORDPERFECT INTERFACE
=====================
The Wordperfect submenu is obtained from the Do A Mail Shot menu
and before running WP or creating a merge file you must choose
configuration on this menu to set up the path and filename for
the word processor and also for where you want the secondary
merge file to be saved. Your WP document can be "brought in"
to MARKETEER later as a plain text file using ALT_I (import
text) at the document update screen.
Outline for WP mergeing:
=======================
1) Go into WordPerfect
2) Type in the letter. Where you want merged MARKETEER data
to appear place the cursor and press SHIFT_F9, F and the
field number
3) Save letter
4) Press CTRL_F9 and 1 to start merge
5) Secondary merge filename is referred to above
The section called "Merge" in the WordPerfect manual gives
more detail on this process.
For most purposes you should find that the built-in word processor
is sufficient.
FORMAT OF MERGE FILE:

Block Operations
MARKING A BLOCK. Press the key to start marking (either
characters or lines) and move the cursor to mark
the desired block of text. Press the same key to
stop the marking. The block will be "marked."
MOVING/COPYING. After marking a block (see above) move
the cursor to the new position for the block and
press the key for either Moving or Copying.
DELETING. After marking a block (see above), press the
key for deleting and the block will be removed.
UN-MARKING. Press the escape key or the same key used
to mark the block. The block will be "un-marked."

REPORTS (Supplied with Utilites Pack to registered users)
=======
A report can be sent to screen, printer or file. If viewed on
the screen there are special features available such as Searching.
Locking Rows/Columns, Bookmarks etc. (see further on)
Types of report available:
*** Records in alphabetic order - a single line or full details
*** "Filofax-type" output. Name/address, phone number etc together
with background notes and messages and letters as far back as
a predefined date. Narrow format printing suited to Personal
Organiser page widths. Only "selected" records are printed.
See Make a Selection on Main Menu.
*** Records in order of Category/State/Alpha
*** Records in order of Category/City/Alpha
*** Preselected records in Alpha order
REPORT VIEWER FEATURES
======================
The following is a list of features along with their key
assignments:
BACKGROUND READING
The viewer simultaneously scans a file and polls the keyboard to see
if the user typed anything. This eliminates the wait time sometimes
required before you can begin viewing the file.
The status bar will indicate either '*Reading*' or '*Done*'. You
can perform any command regardless of what state the viewer is in.
The only thing to keep in mind is that '*Reading' indicates the file
has only been partly read in. For example, a text search may
indicate that the text was not found, when in fact it's in a portion
of the file that has not been read in yet.
For all but very large files, the '*Reading*' phase is over almost
instantaneously.
Two keys can be used to control this process:
The <F9> key temporarily suspends background reading.
The <F10> key resumes background reading.

READING LARGE FILES
The viewer requires only 4K of RAM for every 1,000 file lines.
Depending on free memory and file line size, files up to several
megabytes in size may be read. If the viewer should run out of RAM,
it simply stops reading the file and displays '*Out of Memory*' on
the status line. You can still continue to view the portion of file
that was read.
TEXT SEARCH
Pressing the <Alt-S> key prompts for a search string and scans the
file from the beginning for the first occurrence of the string.
The search is case insensitive.
Pressing the <F3> key searches for subsequent occurrences of
the string, starting immediately after the last match.
If the cursor bar is active, it is placed on the matching line. The
line containing the last search match remains highlighted until the
next search operation.
LOCKING ROW AND COLUMN TITLES
Pressing <Alt-C> will allow you to select a range of column titles
to lock. Extend the highlighted area using the <Up> and <Down>
arrow keys and press <Enter> when done. The text in the highlighted
area will remain fixed in position as you page through the file, but
scroll horizontally when necessary. Pressing <Alt-C> a second time
unlocks the titles.
Pressing <Alt-R> performs a similar function for row titles. Use

keys to extend the highlight and press <Enter> when done. The text
in the highlighted area will remain fixed when scrolling
horizontally, but scroll vertically when necessary. Pressing
<Alt-R> a second time unlocks the titles.
Both row and column titles may be locked simultaneously.

BOOKMARKS
A bookmark allows you to "remember" your place in the file. Up to 9
bookmarks, labeled '1' thru '9' may be set.
To set a bookmark at the current location, press <Alt-B> and enter
the number of the bookmark you wish to set.
To jump to a remembered book mark, press the number key (1-9)
corresponding to the bookmark.
To set a bookmark at the current location and jump to the previous
bookmark location, hold <Alt> key down and press a number key (1-9).
This allows you to toggle between two locations.
STATUS BAR
The status bar shows the current line, the total number of lines in
the file, the current column offset, the current file read status,
and the amount of free memory.
CURSOR BAR
The cursor bar may toggled on/off by pressing the <Enter> key. When
the cursor bar is turned off, the current line indicator on the
status bar will display the line number of the first screen line.
Pressing <Scrl-Lock> will lock the cursor bar at the current
position.
PAGE BREAK INDICATOR
Page breaks (ASCII FormFeed 12) are displayed as a crosshatch line
separating one page from another. They indicate where the pages
will break when when the file is printed.
PAGE JUMPS
The <F7> key moves you to a particular printer page. Printer pages
are defined as above.
The <F8> key moves you to a particular screen page. Screen pages
are 24 lines long.
MOVEMENT KEYS
The <Left> and <Right> arrow keys scroll the display horizontally by
10 columns. Pressing <Ctrl-Left> and <Ctrl-Right> scrolls
horizontally by 40 columns. Pressing <Home> will scroll back to the
first column.
Pressing <PgDn> the first time moves the cursor bar to the bottom of
the screen. Subsequent presses scroll the display down one page.

GLOSSARY

BACK UP Copy database and/or supporting files to floppies
for security reasons. Floppy drive/capacity
should be set up first in Configuration.
DATABASE An ordered collection of records which can be
quickly accessed by key files such as Surname,
Record Number etc.
FIELD Component part of a record. EG, Phone Number
The hierarchy is Fields - Records - Databases
FILE This is how MS-DOS "sees" the databases. Typing
DIR at the DOS prompt will list the files.
KEY Used to describe a field (or corresponding file)
which enables fast retrieval of a record.
MODEM A piece of equipment which plugs into the phone
socket and allows the program to automatically
dial prospects.
RELATIONAL As in relational database. Describes how all
the records are linked (or related) in a variety
of ways. EG, letters to a particular prospect
and also to the word processor.
RECORD A record is composed of fields and is itself the
component of databases.
SUPPORTING FILE Used in look ups. For example the Company
